Booking & deadlines
When is VIVAVITA Miami?
January 14–17, 2027, Thursday to Sunday, 09:00–18:00. Miami also hosts VIVAVITA in April and November (dates on request). All editions: www.vivavitaexpos.com/calendar.
What are the booking deadlines?
Priority booking until December 31, 2026. Last-minute requests until January 11, 2027, subject to availability. Services for earlier arrivals are confirmed before they begin. All times are Miami time.
When is something booked?
Your request gets a tracking reference straight away. Next comes a quotation with price, inclusions, payment and cancellation terms. A service is booked once the supplier confirms it, shown with the supplier’s confirmation number under Track a request.
Can I combine hotel, golf, dinners and meetings?
Yes. Send your first request, then add each further booking with your trip reference. Everything stays under one trip, with its own status per service.
Are the stays fixed packages?
Each stay is fully customizable. Your proposal lists exactly what is included and the price of each service.
Membership
Do I need to enter my details every time?
Apex members book with their MyApex.me username and an email for confirmations. Guests add their name. Membership is free at www.myapex.me.
What is the Apex Ecosystem?

How do I book flights?
Book Business and First Class flights on www.apextravelclubs.com. We add the airport meet & greet and your driver here.
Can I get early check-in or late checkout?
We request both for you; each hotel confirms them for your dates.
Do you book VIP tables and MICHELIN-starred restaurants?
Yes: starred restaurants, VIP tables with bottle service, invitation-only bars, beach clubs, private dining rooms and dinner on a yacht. Each venue confirms tables, minimum spends and dress codes.
Are drivers available all day?
Yes: airport arrivals with meet & greet, daily hotel–expo rides and drivers by the hour, from executive sedans to Sprinters for groups.
Business, wellness & investment
How are medical and wellness appointments handled?
Demonstrations, wellness sessions and medical consultations are listed separately. Licensed providers decide suitability and any treatment; the concierge arranges the schedule.
Who can join the Investment Round Table?
Invited investors, family offices and funds investing USD 1 million or more, and founders or developers raising at least USD 1 million with documented projects. Every request is reviewed personally.
Can you set up buyer and distributor meetings?
Yes: buyers, distributors, manufacturers, logistics and customs partners, showroom and company visits. Meetings depend on relevance and partner acceptance.

After you accept a quotation, following the payment terms it states for each service.
How do I change or cancel?
